While Google Cloud Search is a powerful productivity tool, enabling it for students without proper controls can introduce unintended access to sensitive content within your school’s Google Workspace environment. By default, Cloud Search scans across Gmail, Docs, Drive, Calendar, and other apps—great for staff, but potentially risky when made available to students.
Unless your school has a clear educational use case for Cloud Search, it’s best to disable it for student OUs. If you choose to leave it on, be sure to implement strong content restrictions, access policies, and data classification rules to prevent overexposure. A secure learning environment starts with limiting unnecessary surface area for student accounts.
At Get Set Tech, we help schools assess risk and optimize Google Workspace configurations for student safety and data privacy. Whether it’s reviewing search permissions or locking down app visibility, we’ll help you strike the right balance between utility and control.
